Why complete details matter
Most quote delays and surprises come from missing information. When a transport company has to guess the vehicle, the number of loads or the site conditions, the quote is either padded for risk or revised later. Complete details give you a fast, accurate price.
The checklist
| Detail | What to include | Why it matters |
|---|---|---|
| Material | What it is and any handling requirements | Decides the vehicle type and loading method |
| Quantity | Weight or volume, number of items or bundles | Decides the number of loads, within legal weight limits |
| Dimensions | Longest length; any oversized items | Decides deck length and whether special arrangements apply |
| Pickup | Exact location, loading slot times, loading equipment | Avoids waiting at the gate |
| Destination | Exact site location or pin | Sets the route and distance |
| Timing | Preferred date and the window the site can receive | Lets the route be planned around road restrictions |
| Access | Approach road, gate, height/width/turning limits, ground conditions | Confirms the vehicle can reach the drop point |
| Unloading | Crane, forklift, tipping point or manual | Decides vehicle type and load placement |
| Site rules | Delivery windows, inductions, PPE, banksman | Avoids a truck being turned away |
| Frequency | One-off or a series of deliveries | Allows a programme to be planned |

Photos help
A photo is often worth more than a paragraph. Useful photos include the load as it sits at the pickup point, the site entrance, and the area where the truck will unload. They help confirm the vehicle and spot access problems before the truck arrives.
Common mistakes
- Giving only the emirate. "Dubai to Abu Dhabi" can mean very different journeys. Give exact locations.
- Leaving out the longest length. For steel and pipes, length decides the deck.
- Forgetting the receiving window. A truck that arrives when the site is closed, or during a road restriction, wastes time.
- Assuming unloading is available. Confirm who unloads and with what equipment.
- Booking each load separately. If you need several, say so; they can be planned together.
Timing and road rules
Your preferred timing has to work with the road rules. Dubai bans trucks on Sheikh Zayed Road from 6 AM to 10 PM from 1 October 2026, according to the RTA and Dubai Police, and Abu Dhabi restricts heavy vehicles on city roads at set hours, according to the ITC. Giving a delivery window rather than a single time makes planning easier. See our truck restrictions guide.
What happens next
Once a transport company has your details, it should confirm the vehicle, the price and the schedule, and flag anything that needs checking. At Nafees Transport, the process is: share your requirement, get your quote, we load and dispatch, and your materials are delivered on site.
For what drives the price itself, read what affects construction transport cost.
Example of a complete request
This illustrative example shows the level of detail that makes quoting quick:
Material: rebar bundles, 12 m lengths
Quantity: approx. 20 tonnes, 10 bundles
Pickup: supplier yard, loading 8–11 AM
Delivery: project site, receiving 9 AM–3 PM, crane on site
Access: gate on the service road, no height limit, firm ground
Date: Tuesday next week, flexible to Wednesday
Frequency: first of four similar deliveries
With a request like this, a transport company can choose the vehicle, check the route against road restrictions and confirm a price without a single follow-up question. If some details are not known yet, send what you have and say what is still to be confirmed.
