Why delivery planning matters
Materials that arrive too early clutter the site and get damaged; materials that arrive late stop work. Planned deliveries keep the site clear, crews productive and the programme on track. As we put it at Nafees Transport, every load matters.
1. Build a delivery schedule from the programme
Start with the build programme. For each phase, list the materials needed, the quantities and the date they must be on site. Work back to delivery dates, allowing a sensible buffer – enough to absorb a delay, not so much that materials sit on site for weeks.
Group requirements where you can. Several deliveries planned together are easier to schedule efficiently than a string of urgent one-offs.
2. Confirm the access route
- How does a heavy vehicle reach the site gate from the main road?
- Are there height, width, weight or turning limits on the approach?
- Is the ground on site firm enough for a loaded truck?
- Where will the truck stand while unloading, and where will it turn?
Share the answers – ideally with a site map and photos – with your transport provider before the first delivery.
3. Set receiving windows that work with the road rules
A site's receiving window must overlap the times heavy vehicles may use the roads to reach it. In Dubai, from 1 October 2026, trucks are banned on some roads at all hours and on others from 6 AM to 10 PM or at peak times, according to the RTA and Dubai Police. In Abu Dhabi, heavy vehicles may not use city roads at set peak hours, according to the ITC. See our truck restrictions guide.
Agree delivery windows, not single times, so trucks can be routed around restrictions and traffic.
4. Prepare laydown and unloading
- Laydown area. A clear, level space for each material, close to where it will be used but out of the way of other work.
- Unloading method. Crane, forklift, tipping point or manual – and who provides it.
- Tipping areas. If tippers will deliver, a firm, level area with overhead clearance and a clear discharge zone.
- Lifting. For steel and pipes, a lifting plan and dunnage space for slings.
The right vehicle depends on these choices – see flatbed vs tipper vs bulk trailer.
5. Brief the site team
Gate staff and supervisors should know which deliveries are due, roughly when, and where each goes. Agree who receives the delivery, checks the paperwork and signs for it, and who acts as banksman when vehicles reverse or manoeuvre.
6. Agree site rules with the transport provider
Share delivery hours, induction requirements, personal protective equipment rules, speed limits on site and any other conditions before the first delivery. A truck turned away at the gate wastes a whole trip.
7. Keep one line of communication
Agree a single point of contact on each side and a channel – often WhatsApp in the UAE – for dispatch confirmations, arrival updates and changes. When plans change on site, tell the provider early so loads can be rescheduled rather than wasted.
8. Review and adjust
After the first few deliveries, review what worked: were windows right, was unloading quick, did paperwork flow? Adjust the schedule as the build moves to each new phase.

Let us plan it with you
For projects with regular deliveries, a project logistics partnership with Nafees Transport plans your deliveries as one programme, with consistent scheduling across all seven emirates. Start with our quote checklist.
Paperwork on arrival
Agree in advance what paperwork travels with each load and who checks it at the gate. A quick check against the order before unloading catches errors while the truck is still on site, when they are easiest to fix.
Need materials moved?
Nafees Transport is a Dubai-based transport company that moves construction and industrial materials, steel and rebar across all seven emirates. Send your requirement through the quote form or WhatsApp on +971 54 161 0526, Monday to Saturday, 8 AM to 6 PM.
